How to Use eCriteria as a Document Management Tool
Many organizations use eCriteria as a low-cost,
and completely configurable Document Management Solution
for virtualizing physical business documents such as invoices, purchase orders, and
customer statements. With eCriteria, you can search and retrieve these documents from any
Web browser, from any location.
Let's say you're an outside sales rep for an automotive
parts distributor. You're making your
rounds to regular customers. At one customer's office, you are reviewing some
recent purchase orders and a question comes up regarding some special handling that was
promised. You need to check the physical document to see some hand-written notes on the
face of the order. What to do? You could call your office, have an accounting clerk go pull the original document, and
FAX it to you at the customer's office. How many things can go wrong with this scenario!?
Much better, you can securely login to your eCriteria database from any Web browser, enter
the PO# as search criteria,
see the metadata displayed for the PO such as order date, product description, quantity,
notes, etc. and a hyperlink to the image of the document. You click on the link, and there's
the physical document, complete with any hand-written notes, signatures, and stamp marks.
You and the customer can review the PO and easily resolve the issue.
